1. Define the product and destination
Collect product names, ingredients, labels, storage requirements and remaining shelf life. Identify the factory or China receiving point and the US warehouse ZIP code. Keep mixed-SKU information itemised.
The purpose is to establish whether the product and proposed route are a fit. Do not send cargo to an origin warehouse on the strength of a general website category. Obtain shipment-specific acceptance first.
2. Align importer and document responsibilities
Confirm the commercial parties, importer arrangements and broker contact. Allocate relevant filing tasks and document deadlines before the sailing is selected. Your product adviser should resolve regulatory questions that a freight quotation cannot decide.
Use a shared record of the invoice, packing list, product information and contact details. Check that the product description and quantities agree across those records.

Direct ocean service
Count from vessel departure to arrival at the US port. Cargo preparation, import clearance and delivery to your warehouse take additional time.
Shipping in peak season? Allow an extra 5–7 days. Ask us for the current sailing and warehouse delivery estimate.
3. Confirm packing and origin handoff
Agree carton protection, pallet format, shipment marks and any non-stackable handling instructions. Cargo dimensions should represent the finished transport pack. Confirm receiving arrangements with Haishun before dispatch from the supplier.
At the handoff, reconcile quantities and the available measurement records. Resolve discrepancies before booking documents are finalised, especially for mixed orders and last-minute packing changes.
4. Agree the ocean proposal
Review LCL or FCL, the routing proposal, the estimated schedule and quote scope. Ask which date is estimated and what could affect it. A sailing proposal should not be read as a guaranteed warehouse receipt date.
Keep product storage needs and shipment readiness in view. The plan is only practical if the manufacturer’s conditions can be met by the chosen transport arrangement.
5. Coordinate US release and delivery
Your importer and broker handle the applicable entry responsibilities. Any authority examination or document query may affect timing and charges. Keep the receiving warehouse informed if the delivery plan changes.
After release, confirm the receiving slot, delivery reference and unloading conditions. Record delivery and reconcile any quantity or damage issue through the agreed contact process.
6. Use the next shipment to improve the brief
Keep the final packing dimensions, warehouse instructions and issues encountered. Repeated orders can use that information to prepare a clearer starting brief, but each changed formula, supplier or pack should still be reviewed.
