THE IMPORT NOTEBOOK

Shelf life starts before the sailing.

Build the packaging and replenishment plan around the product specification and the buyer’s receipt requirements.

Work backwards from the receiving date

Ask the destination for its minimum remaining shelf life at receipt. Compare that with the production or best-before information on the actual batch. Include production release, origin receiving, the proposed departure, sea transit, release and the receiving appointment.

A port arrival estimate is not a shelf-ready inventory date. Use a buffer for events such as schedule changes, inspections and delayed receiving. Agree a replenishment buffer with your receiving team.

Use the manufacturer’s storage specification

Get a clear temperature and humidity specification. “Ambient” can be too vague when a product is sensitive to heat or moisture. Ask what conditions the manufacturer considers acceptable during the intended transport period.

If ordinary dry-container conditions cannot meet the product’s needs, review a different service or equipment arrangement. Packaging improvements may protect against some handling risks, but they do not create a controlled-temperature transport chain.

Three layers of protection

Layer Review
Retail pack Closure, moisture barrier, bottle or pouch strength and seal integrity.
Outer carton Compression, product movement, fragile contents and carton marks.
Pallet or transport unit Stability, height, overhang, stackability and warehouse compatibility.

Measure after packing. Any added cushioning, pallet or outer protection changes the final cargo envelope and may affect cost.

Record a packing standard for repeated orders

Keep photographs of the agreed pack, carton and pallet. Record dimensions, gross weight, SKU marks and any special handling instruction. A repeatable packing standard helps the freight and receiving teams work from the same brief.

Review changes rather than assuming the last shipment’s plan still fits. A new pack, formula, supplier or delivery warehouse can affect the requirements.
